10. Standard Letters & Mail Merge

Tabs are used to space out your work in an orderly manner.  Tabs are helpful when you are writing letters to separate the sender’s address from the receiver’s address and, of course, if you want data to be presented in a tabular form.

 

 

 

 

Mail Merge

The personalised details in a standard letter can be typed on an individual basis by opening the file and typing in the appropriate place.  However, standard letters are often sent to many people at the same time. A much more efficient way of creating the letters is to create a mail merge.

Mail Merge

Here the personalised details are stored in a database, like an address file and merged, with the Standard letter to produce a group of letters in a single operation.

 

 

How to do a Mail Merge Operation.

  1. Download the files Mail Merge.doc and the mailing list.doc. and save them.
  2. Watch VIDEO 13a and follow the steps to link the Standard Letter to the Data Source.

    Make sure you choose the right VIDEO version for your computer from Video bar on the right.
  3. Save your files.
  4. Watch VIDEO 13b and follow the steps to complete the Mail Merge Operation
    .

What you have to do!

  1. Download both files:
    • The Standard Letter - Mail Merge.doc
    • The Data Source file - Mailing List.doc
  2. Watch Video 13a to see how to embed the data placeholders from the Mailing List tin to the Standard Letter.
  3. Complete the Setup of the Mail Merge operation following the steps in the video. Remember to save your file.
  4. Watch Video 13b to see how to complete the mail merge operation.
  5. Complete the Mail Merge.

 

Mark off Task 13 in your progress grids.
